How to Set Up Sharing & Printing in FlayrBooth
A complete walkthrough of every sharing and output option in FlayrBooth — QR codes, email, SMS, the Sharing Station web gallery with Cast/AirPlay, Google Drive backup, and print setup.
Output & Sharing at a Glance
All sharing, cloud storage, and print settings are managed from the Output & Sharing tab in the operator dashboard. Open the dashboard with Ctrl+Alt+D (Windows) or Cmd+Alt+D(Mac), then go to the Output & Sharing tab.

1. Cloud Storage (Google Drive)
The Cloud Storagesection sits at the top of the Output & Sharing tab (not inside any collapsible). It lets you connect a Google Drive account to automatically back up every capture.
Setup
- 1Go to the Output & Sharing tab. The Cloud Storage section is at the top, expanded by default.
- 2Click Connect Google Drive. A popup window opens asking you to sign in to your Google account and grant FlayrBooth permission to create files.
- 3Once connected, a green status card shows “Connected to Google Drive” and your storage quota.
- 4Check Auto-Upload Photos to enable automatic backup after each capture.
- 5Set the Folder Name (default: “FlayrBooth”). All photos and videos for this event are stored in this folder. You can also click Open Folder in Drive to view it in your browser.
- 6Use Sync Now to manually upload any photos that haven't been backed up yet.

💡 Offline uploads:
If the internet disconnects during an event, captures still save locally. Google Drive uploads resume automatically when the connection is restored. The app never blocks capture due to upload failures.
2. QR Code Sharing
QR code sharing is the primary way guests get their photos. After saving a capture, a unique QR code appears on screen. Guests scan it with their phone camera and download the photo directly — no app required.
Setup
- 1Open the Output & Sharing tab in the operator dashboard.
- 2In the Sharing Methods collapsible section, ensure QR Code Sharing is toggled on (it is by default).
- 3Choose the QR Code Link Type: LAN / Wi-Fi (works on the local network without internet) or Google Drive (works from anywhere, but requires Drive to be connected first — photos upload before the QR appears).
📱 How guests use QR codes
- 1. After saving, a QR code appears on the booth screen
- 2. Guest opens their phone's Camera app and points at the QR code
- 3. A notification/link appears — tap it
- 4. The photo opens in the phone's browser — tap download to save
- 5. iPhone: Yellow banner at top. Android: Link at bottom of viewfinder
💡 QR works on local WiFi
Even without internet, QR sharing works over the local WiFi network when using the LAN link type. The booth's built-in local server serves photos directly to phones on the same network. Only email and SMS delivery require internet access.
3. Email & SMS Sharing
Email and SMS sharing send a download link directly to the guest. These require configuration with your email provider and SMS gateway.
📧 Email Setup
- 1In the Sharing Methods section, toggle Email Sharing on. The SMTP Configuration panel opens automatically.
- 2Select a Provider preset — Gmail, Outlook,Yahoo, or Custom. The preset fills in the SMTP host and port for you. For Gmail, the default port is 587 (TLS).
- 3Enter the SMTP Host (e.g.
smtp.gmail.com) and Port. Port 465 uses secure (SSL) mode automatically. - 4Enter your Email Address(the account you'll send from) and anApp Password. For Gmail, you need a Gmail App Password— not your account password. Create one at Google Account → Security → App passwords.
- 5Set an optional From Name(e.g. “FlayrBooth”) — this is how the sender appears in the guest's inbox.
- 6Click Test Connection. This verifies the SMTP server can be reached and your credentials are valid (it does not send a test email). If successful, the config is saved automatically and a green “Configured” badge appears. If it fails, check the error message for details.
💬 SMS Setup
SMS sharing lets guests enter their phone number on the share screen to receive a download link.
- 1In the Sharing Methods section, toggle SMS Sharing on.
- 2SMS delivery requires an SMS gateway URL configured at the system level (Twilio, Vonage, Semaphore, or any HTTP-based SMS provider). Contact your administrator or set the
smsGatewayUrlandsmsApiKeyenvironment variables. - 3Once SMS is enabled, guests see a phone number input field on the share screen where they enter their number to receive the link.
⚠️ Important:
Email and SMS require internet access. If internet is unavailable during the event, guests can still use QR code sharing (which works on local WiFi) or the Sharing Station. Photos are queued and email/SMS delivery can be attempted later.
5. Print Settings
FlayrBooth supports direct printing with configurable layouts. The Print Settingscollapsible section in the Output & Sharing tab controls which printer and which layouts are used.
Quick setup
- 1Open the Print Settings collapsible section in the Output & Sharing tab.
- 2Select your Default Printer from the dropdown. FlayrBooth works with any Windows or macOS-compatible printer. If no printers appear, make sure one is installed on your system.
- 3Choose a Default Print Layout — the layout used when guests tap “Print” on the review screen. If no layouts exist yet, create one with the Print Designer first.
- 4Choose a Default Review Layout — this layout is auto-applied to captured photos in the review screen. Guests can still change it before saving.
⏩ Auto-Print
When auto-print is on, photos print automatically after capture without guest intervention.
- 1In Print Settings, toggle Auto-Print on.
- 2Set the Auto-Print Delay (0.5–10 seconds) — how long to wait before printing, giving guests a moment to review.
- 3A default printer must be selected for auto-print to work.
🎨 Creating custom print layouts
FlayrBooth includes a drag-and-drop Print Designer for creating custom layouts. You can open it from the Overview tab or from the Print Settings section.
- 1Open the Print Designer from the dashboard Overview tab, or click Open Print Designer in the Print Settings section. You can also use Ctrl+P for the direct shortcut, or Ctrl+K and type “print designer”.
- 2Click New Layout, choose the paper size (4×6“, 5×7”, 6×8“, 2×6“ strip, or 5×5“), and give it a name.
- 3Drag and drop photo slots, text boxes, and logos onto the canvas. Each element can be resized and repositioned.
- 4Enable face detection to automatically align photos within their slots so faces are centred.
- 5Add borders, frames, and background colours to complete the design.
- 6Click Save. The layout then appears as an option in the Default Print Layout and Default Review Layout dropdowns, and on the review screen for guests to choose.
🖨️ Supported printers
- • Any Windows/macOS compatible printer
- • Recommended: dye-sublimation printers (DNP, Mitsubishi, HiTi)
- • Standard inkjet and laser printers
- • Printer calibration available for offset and alignment
📐 Print quality tips
- • Use camera resolution of 1920×1080 minimum for prints
- • Set printer driver to “Best” or “High Quality”
- • Let dye-sub prints sit 10–15 seconds before handling
- • Avoid stretching small photos into large print slots
Final Step: Test the Full Flow
Before the event starts, run through the complete guest experience to verify everything works:
Take a test photo
Choose Photo mode, capture, and save.
Test QR code sharing
On the share screen, scan the QR code with your phone and download the photo.
Test the Sharing Station
Scan the Sharing Station QR code on your phone and browse the gallery.
Test printing (if enabled)
Go back to the review screen and tap Print. Wait for the print to come out.
Verify Google Drive backup
Check your Google Drive folder for the uploaded test photo.
Test email/SMS (if configured)
Enter your own email or number and verify the link arrives.
Common Issues & Fixes
🔳 QR code won't scan
Increase screen brightness. Move the phone closer to the screen and hold steady. Angle the phone to avoid glare. Try email or SMS as an alternative.
📧 Guest didn't receive the email
Check spam/junk folder. Verify the correct email address was entered. Allow 2–3 minutes for delivery. Check that the SMTP configuration is correct.
🖨️ Print didn't come out
Wait up to 60 seconds — printing takes time. Check the printer for paper jams or low paper. Verify the printer is set as the default in the Output tab.
☁️ Google Drive not connecting
Check internet connection. Try disconnecting and reconnecting. If the popup doesn't appear, check your browser settings — some popup blockers may interfere. For developer setups, verify OAuth credentials are correctly configured.
Summary: Recommended Sharing Setup
For most events, enable these:
QR and Sharing Station work immediately with no configuration — they're the fastest way to get photos to guests. Add Google Drive for your own backup. Set up email/SMS and printing only if your event specifically needs them.
